At Kuhtai Software Pty (Ltd) (trading as, ‘ScanTrack”), we are committed to upholding the highest standards of privacy and data protection in compliance with the Protection of Personal Information Act (POPIA) of South African law. This Privacy Policy and Code of Conduct outlines how we collect, use, and protect personal information within our point-of-sale system. The use of Lunch Hub services serves as an agreement to the collection and use of information set out in this privacy policy.
1. Interpretations and Definitions
  1. “Company,” “we,” “us,” or “our” refers to Kuhtai Software (Pty) Ltd, trading as ScanTrack SA;
  2. “Client” refers to the individual, company, or entity that enters into an agreement with ScanTrack SA to use its Services, subject to the terms outlined in this document;
  3. “Personal Information” refers to any information relating to an identified or identifiable individual as defined under applicable data protection laws;
  4. “Processing” refers to any operation or set of operations which is performed on Personal Information, whether by automated means, such as collection, recording, organisation, structuring, storage, adaption, alteration, retrieval, consultation, use, disclosure by transmission, dissemination, otherwise making available, alignment, combination, restriction, erasure, or destruction;
  5. “Website” refers to ScanTrack’s website located at www.scantracksa.co.za/;
  6. “Services” refers to all product hardware sales, software developments, applications, service licence agreements and any other services provided by Kuhtai Software (Pty);
  7. “Cookies” refers to small files stores on your device (computer or mobile device) that are used to track and store information about your preference or activities on the Website;
  8. “Third Parties” refers to entities or individuals other than ScanTrack and the user;
  9. “Effective Date” refers to date this Privacy Policy comes into effect.
2. Interpretations
  1. Headings: The headings used in these Terms are for convenience only and do not affect the interpretation of these Terms.
  2. Plural and Singular: Words in the singular include the plural and vice versa, unless the context requires otherwise.
  3. Includes: The word “includes” means “includes without limitation” unless otherwise specified.
  4. Governing Law: These Terms are governed by and construed in accordance with the laws of South Africa.
3. Information Collection and Use
  1. Personal information collected, including names, surnames, email addresses, phone numbers, and account balances, is solely used for the provision of Lunch Hub’s point of sale system services –
    1. This information is not distributed to any third party without explicit consent.
  2. Personal data is used to contact parents or guardians in the event of issues with the accessibility of Lunch Hub services.
4. Data Retention and Deletion
  1. Upon a child leaving the school, their Lunch Hub account and associated personal information are promptly deleted and not retained in any form.
5. Parental Control
  1. Parents or guardians may request to delete or modify their personal information by contacting ScanTrack SA at admin@scantracksa.com or the respective canteen managers.
6. Data Display
  1. After a purchase is made, the child’s name, surname, and account balance are displayed on the point-of-sale system for transaction verification purposes.
  1. Only parents, with their explicit consent, provide limited information about their child, restricted to their name and surname, for use within the Lunch Hub system.
8. Data Security
  1. All personal information, including emails, phone numbers, names, and surnames, is uploaded to a secured cloud environment protected by a firewall to ensure confidentiality and integrity.
  2. Access to personal information is restricted to authorized personnel only, including ScanTrack SA and the canteen managers, who are bound by confidentiality agreements.
9. Compliance with POPIA
  1. Our Privacy Policy and Code of Conduct are fully compliant with the requirements of the Protection of Personal Information Act (POPIA) of South African law.
